Job Description
ACLED is recruiting a Payroll Coordinator within the Finance team to provide oversight and support our US based and International payroll. Working closely with our Human Resources department, our US based payroll provider and our international PEO, the Payroll Coordinator serves as a critical liaison, ensuring that ACLED needs for payroll technical support are met and comply with both US and international guidelines. As this is a new role, the responsibility includes developing and implementing a change request process.
Responsibilities:
- Manage the full payroll cycle (nationally and internationally) via our stakeholders to ensure accuracy and timeliness calculations provided.
- Manage contractor monthly contractor invoicing, payments through all the different platforms, monitoring and resolving any queries.
- Process and validate the monthly payroll input and ensure correct mutation processing in function of salary payments.
- Ensure our time & attendance tool (Timeco) is up to date and monitors if it’s processed correctly.
- Consult with the HR team concerning exceptions and payroll issues, calculate any necessary requests and provide solutions, escalate urgent matters to supervisors when needed.
- Interfaces with external vendors, pension funds, independent Financial Consultants and maintain an excellent relationship with all parties.
- Ensure compliance with company policies and other legal legislations.
- Be the point of contact with payroll provider for tax fillings.
- Support Finance team for audits engagements.
- Answer questions from team members and business partners regarding compensation, benefits, taxes and employee insurances.
- Identify, lead and execute projects regarding payroll process & system improvements.
- Provide support for the Human Resources department where relevant.
- Other duties as required (some travel might be required).
Requirements:
- Fluency in English (required).
- Diploma or Bachelor degree in HR or accounting, HR Administration, especially payroll.
- Minimum of 3 years working in an equivalent role.
- Experience working in finance for non profits (required).
- Proven track record working in payroll administration (required).
- Proficiency with Excel, accounting software (Netsuite), and data management systems (required).
- Experience working with domestic and international PEOs (required).
- Strong attention to detail (required).
- Proficiency with G-Suite, Timeco, Asana, Bamboo (preferred).
- Strong problem-solving skills and communication skills (verbal and written).
- Ability to juggle multiple tasks and competing priorities.
- Enthusiastic, proactive and comfortable handling administrative tasks when required.
- Ability to work remotely with limited supervision.
- EST or CET timezone preferred.
